About this calculator

Sending a US document abroad often requires two separate steps beyond the basic paperwork: notarization by a commissioned notary (state-capped fees, commonly $5-$15 per signature, though mobile/traveling notaries add a separate travel fee of $25-$75), and then an apostille or authentication certificate from the state Secretary of State (for countries in the Hague Apostille Convention) or full consular legalization (for non-Hague countries, which requires additional authentication by the US State Department and the destination country's embassy or consulate, each with its own fee). State apostille fees typically run $10-$20 per document, but consular legalization for non-Hague countries can run $50-$150+ per document once embassy fees are added. This calculator totals notary, apostille/authentication, and courier costs for a batch of documents so you can budget before starting international paperwork like using a US document for marriage, business, or property abroad.

FormulaTotal = documents × (notary fee + travel fee/doc count + apostille/authentication fee) + courier costs.

FAQ

How do I know if a country is part of the Hague Apostille Convention?

Over 120 countries participate, including most of Europe, Japan, Australia, and Mexico, and the US State Department publishes a current member list. If your destination country is a member, a single apostille from the state suffices; if not, you need the longer consular legalization chain.

Does the document need to be notarized before getting an apostille?

Yes for most document types, like powers of attorney or affidavits, notarization must happen first since the apostille authenticates the notary's (or other official's) signature and seal, not the document's content itself. Government-issued records like birth certificates from the state may skip notarization since they're already official.

Why is consular legalization so much more expensive?

It requires authentication at multiple levels: sometimes county, then state, then US State Department, then the destination country's embassy or consulate, each charging its own fee and requiring separate mailing turnaround, versus the single apostille step for Hague countries.

Can I expedite the apostille process?

Many Secretary of State offices offer expedited or same-day service for an extra fee ($20-$50 typically), and some private apostille service companies handle the entire process including mailing for a markup, useful if you're on a tight deadline for something like an international adoption or overseas marriage.

Accuracy and limitations

  • Results are estimates before tax, fees, and inflation unless an input explicitly covers them.
  • Rates are treated as fixed for the whole period — variable-rate products will drift from this projection.
  • This is educational maths, not financial advice. Check anything contractual with the lender or your accountant.
