About this calculator
A single no-show doesn't just lose that appointment's revenue — it's a chair-hour that usually can't be resold on short notice, meaning near-total loss of that slot's earning potential. This calculator takes your monthly appointment count, no-show and late-cancellation rate, average ticket, and a proposed cancellation fee policy, then shows current monthly losses and how much a fee (charged on a deposit or card-on-file basis) would recover. It also models the deterrent effect: salons that implement a firm 24-48 hour cancellation policy with a real charge typically see no-show rates drop by roughly 30-50% simply because clients treat the appointment as a real commitment once money is at stake.

FAQ
Is a cancellation fee legal and enforceable?
Yes, as long as clients agree to it in advance, typically through a card-on-file authorization at booking and clear written policy (posted, in booking confirmations, and verbally reinforced). Charging a fee without prior disclosure invites chargebacks and complaints, so the policy has to be visible before the appointment is made, not after a no-show.
What's a reasonable no-show fee amount?
Most salons charge either a flat fee ($25-$50) or 50% of the service price for no-shows and late cancellations (inside 24-48 hours). Charging the full service price is common for high-value services like extensions or med-spa treatments where the lost chair-time is expensive and hard to rebook.
Does requiring a deposit work better than a card-on-file fee?
Deposits collected upfront (often applied to the final bill) tend to reduce no-shows more than post-appointment card charges, since clients have already committed money before ever booking. Many salons combine both: a smaller deposit at booking plus a card-on-file for anything beyond that if a no-show occurs.
Accuracy and limitations
- Results are estimates before tax, fees, and inflation unless an input explicitly covers them.
- Rates are treated as fixed for the whole period — variable-rate products will drift from this projection.
- This is educational maths, not financial advice. Check anything contractual with the lender or your accountant.
