About this calculator
The Child and Adult Care Food Program (CACFP) reimburses eligible childcare centers per meal and snack served, at rates that differ by income-eligibility tier and meal type, and many operators never check whether the reimbursement actually covers what the meal program costs to run. This calculator multiplies meals and snacks served per day by their respective reimbursement rates and days served per month to estimate total reimbursement, then compares it to your actual food and labor cost for meal prep to show net program margin or shortfall. CACFP has three reimbursement tiers based on area or family income data (commonly referred to as free, reduced, and paid rates), and centers serving a higher share of lower-income families draw a materially higher blended rate — get your center's actual tier mix from your sponsoring organization rather than assuming the top tier for all children, since that will overstate reimbursement.

FAQ
Where do I get my center's actual reimbursement rates?
Your CACFP sponsoring organization or state agency publishes current rates annually (they adjust each July with a cost-of-living update), broken into free, reduced-price, and paid tiers. Ask your sponsor for your center's specific blended rate based on your enrolled families' actual eligibility mix rather than using national averages, since your real blended rate could be meaningfully higher or lower.
Why would reimbursement be negative margin?
CACFP was never designed to fully fund a restaurant-quality meal program; it's a subsidy toward cost. If your food and prep labor cost per child exceeds the reimbursement rate, that's common, especially for centers doing scratch-cooked meals or serving smaller headcounts where labor doesn't spread as thin. A negative margin here isn't a mistake, it's a real cost you're funding from tuition.
Does every enrolled child count for reimbursement?
No — only children present and actually served a reimbursable meal that meets CACFP meal pattern requirements count, and you need accurate daily meal counts and menus on file for audit purposes.
