About this calculator

Transportation is a common loss-leader for centers and small private schools: it wins enrollment but rarely pays for itself unless priced deliberately. This calculator adds driver and monitor wages for the route's daily hours, fuel, insurance allocation, and vehicle lease or depreciation, then divides by riders to get a true monthly cost per child. It compares that to what you're charging for transportation (if anything) to show the subsidy per rider your center is effectively absorbing. Fuel cost should reflect actual route mileage times current price per gallon divided by miles-per-gallon for the vehicle, not a flat guess, since routes vary a lot in length. If you're running a full-size bus you likely need a CDL driver at a materially higher wage than a van driver, which changes the math substantially even for a similar rider count — plug in your actual driver wage rather than a generic number.

FAQ

This assumes a $3.60/gal fuel price — is that accurate for me?

It's a rough national average and will drift with real prices and diesel vs. gasoline vehicles. Diesel buses often run higher per gallon but better mpg, so if your fleet is diesel, adjust the miles-per-gallon input up and mentally note the true price may differ from the built-in assumption; the labor and fixed-cost lines will still dominate the total.

Why does transportation lose money at most centers?

Driver and monitor wages for a 2-hour route add up to a real daily cost, but most centers either bundle transportation into tuition without itemizing it or charge a flat fee well below true cost as a competitive perk. That's a legitimate business choice if it drives enrollment, but you should know the size of the subsidy rather than discover it in a budget review.

How do I decide what to charge for a bus route?

Compare cost per rider to what nearby competitors charge for transportation, then decide how much of the gap you're willing to subsidize as a marketing cost. Many centers charge 50-70% of true cost for transportation because it's a strong enrollment driver, especially for before/after-school programs pulling from an elementary school.

Does adding a stop change the math much?

Extra stops add both time (hours per day) and miles per day, both inputs here, so run the calculator with and without the proposed stop. A stop that adds 15 minutes and 4 miles for 2 additional riders is usually worth it; one that adds 30 minutes for 1 rider rarely is.
