About this calculator

State licensing sets a maximum number of children per teacher by age group, and that ratio is the single biggest driver of your labor line. This tool takes enrolled children, the mandated ratio, and average fully-loaded teacher pay (wages plus payroll tax and benefits load) and produces the minimum staff count, total classroom labor cost, and labor cost per enrolled child. It also flags when you're one child away from tripping into a new hire, which is the moment most directors get blindsided by a budget swing. Fully-loaded pay usually runs 18-28% above base wage once you add FICA, unemployment insurance, workers' comp, and any health or retirement match, so the loaded-rate input matters more than people think. Use this per classroom or per age group, then sum across the center for a full staffing budget. It does not include a lead-teacher premium or a director's non-teaching hours, both of which you should layer on separately if your model pays leads more than assistants.

FAQ

What ratios do states actually require?

It varies widely by state and age band. Infants commonly run 3:1 to 4:1, toddlers 4:1 to 7:1, and preschool 8:1 to 12:1, though a handful of states go looser. Always check your state's licensing agency for the exact number, since group-size caps often apply on top of the ratio and can force an extra teacher even under the ratio math.

Why use a loaded rate instead of base wage?

Base wage understates true cost by 15-30%. Payroll taxes, workers' comp (higher for childcare than office work), health insurance contributions, and paid time off all add up. If you budget on base wage alone you'll consistently run over on payroll, so build the load into every projection.

How do I use the 'children until next hire' number?

It tells you your buffer before enrollment growth forces a new hire. If it shows 1, your next enrollment is expensive because it triggers a full extra teacher salary that isn't offset by one more tuition check. Use it to time enrollment marketing pushes around hiring capacity, not just open slots.

Should I staff to the legal minimum ratio?
