It's built for the front-desk or director moment of 'can I take this drop-in child' or 'can I let this teacher leave early,' not for long-range budgeting. A buffer of zero doesn't mean you're doing something wrong; it means you're staffed exactly to today's headcount and any change requires action (float staff, closing a spot, or turning away a walk-in) before it happens, not after.

FAQ

Is this a substitute for state licensing rules?

No. This is a quick operational math check using whatever ratio you enter; it does not know your state's actual licensing requirement, group-size caps, or mixed-age-group rules. Always confirm the exact ratio and any group-size maximum with your state licensing agency, since some states apply both a ratio and a separate absolute group-size cap.

Why would 'buffer' show as negative?

A negative buffer means you're currently out of compliance with the ratio entered — more children present than your staff count supports. That needs immediate action: pull a floating staff member into the room, move children to another compliant classroom, or stop accepting walk-ins until staffing is corrected.

Should front-line staff use this or is it a director-only tool?

It's built to be fast enough for a front-desk person to check before accepting a drop-in or a late enrollment, or for a lead teacher deciding whether a co-teacher can step out for a break. Real-time ratio awareness at the classroom level, not just at the director level, is what actually prevents violations.

Does this account for children with additional support needs?

No. Some states adjust ratio requirements when a classroom includes children with an IEP or documented additional support need — that adjustment must be applied manually by changing the ratio input to reflect your specific classroom's approved ratio before relying on this calculator's output.
