This calculator takes campers enrolled in a session, per-camper price, counselor ratio and pay, and per-camper variable costs (supplies, field trip admission, transportation, snacks) to produce session revenue, total cost, and margin per camper. It separates the staffing cost, which snaps in fixed increments as you cross ratio thresholds, from smooth per-camper costs like snacks and field trip tickets, since the two behave very differently as enrollment moves. A session sitting near a ratio threshold — say 25 campers against a 1:10 ratio — is one enrollment away from an extra counselor salary, so watch the 'counselors required' output when you're deciding whether to accept another registration or close the session waitlist.

FAQ
Why does one more camper sometimes reduce margin?
When enrollment crosses a ratio threshold you add a full counselor salary for the week, which usually costs far more than the one extra registration brings in. Check the counselor count before accepting a registration near the edge — sometimes it's better to hold at the current count or push the extra child to a different session.
What belongs in variable cost per camper versus fixed session cost?
Variable cost should scale with headcount: snacks, craft supplies, field trip tickets, a t-shirt. Fixed cost stays the same whether you have 20 or 50 campers: site rental, camp director salary for the week, liability insurance, marketing amortized across the summer. Getting this split right is what makes the ratio-threshold warning meaningful.
How low can enrollment go before a session should be canceled?
Set the camper count to whatever number makes margin equal zero — that's your cancel-or-combine threshold. Many camps set a minimum enrollment (often 60-70% of typical session size) two weeks out and either combine low sessions or offer a discount to bump enrollment above that line.
