Sales Stack ROI Calculators

Every tool in the go-to-market stack bills per seat and promises pipeline. These calculators normalise them onto the two numbers that actually decide renewals: cost per qualified meeting and cost per closed deal.

Why seat price is the wrong comparison

A $99 seat that produces two meetings a month is more expensive than a $200 seat that produces six. Vendors quote per seat because it's the number they can discount; finance cares about what each tool costs per deal closed. Every calculator here ends on that figure so the whole stack can be ranked on one scale.

Three costs get left out of nearly every internal ROI deck, and each one is large: implementation and admin time, the deliverability and data spend that makes a sequencer work at all, and rep ramp. Model them explicitly โ€” a tool that looks like a 6x return on licences often lands closer to 2x once they're in.

How to run a stack audit in an afternoon

  1. Pull last-login data for every seat and count the ones inactive for 30+ days.
  2. Run the CRM and stack calculators with real invoice totals, including middleware and add-ons.
  3. Attribute meetings by source, then divide all-in cost by sourced meetings per tool.
  4. Rank tools by cost per closed deal and cut, downgrade, or consolidate the bottom of the list.
  5. Re-run 90 days later โ€” the audit is only worth anything if the numbers move.
