About this calculator

3PLs typically bill storage one of two ways: a flat monthly rate per pallet position occupied at a snapshot in time, or a pallet-in/pallet-out (daily) rate that charges for the actual number of days each pallet sat in the warehouse, which is fairer for clients with fast-moving inventory but requires more granular tracking. This calculator computes both so you can see which method produces a different bill for the same underlying activity — daily billing tends to be cheaper for clients who turn inventory quickly and more expensive for clients holding long-dwell safety stock, while flat monthly billing is simpler to administer but can overcharge fast-turning clients and undercharge slow ones. Use it to compare a proposed contract structure or to reconcile a 3PL invoice against your own receiving and shipping records.

FAQ

Which billing method should a client prefer?

Fast-turning clients (average dwell under 15-20 days) usually come out ahead on pallet-in/pallet-out daily billing because they're not paying for a full month of storage on pallets that only sat for a week. Clients holding safety stock or slow-moving SKUs for 30+ days typically do better, or at least aren't worse off, under flat monthly billing.

Which method should a 3PL prefer operationally?

Daily billing requires tracking exact receipt and shipment dates per pallet, which most modern WMS platforms handle natively, but it takes more administrative rigor to invoice correctly. Flat monthly billing is simpler to invoice but can leave money on the table with fast-turning clients or create disputes with slow-turning clients who feel overcharged relative to actual usage.

How do I reconcile an invoice using this calculator?

Pull your actual receiving log with pallet-in dates and pallet-out (shipped) dates for the billing period, compute total pallet-days, and multiply by the contracted daily rate — compare that to what was actually invoiced. Discrepancies usually come from pallets that were combined/split without an update to the tracking record, or from a dispute over what counts as the 'in' date when a shipment is received but not yet putaway.

Does this apply to non-palletized storage like bin/shelf locations?

The same logic applies but the unit changes to bin-days or cubic-foot-days instead of pallet-days. Many 3PLs handling small parcel or each-pick inventory bill storage per cubic foot per month instead of per pallet position, since a shelf location doesn't map cleanly to a pallet slot.
