About this calculator
Tents are a large capital purchase with meaningful per-event labor cost for setup, strike, and cleaning, which makes naive rental-rate-versus-purchase-price math misleading. This calculator nets out labor and cleaning cost per rental from the rental rate to get true contribution margin, then divides purchase price by that margin to find breakeven rental count, and projects season profit at your expected booking volume.

FAQ
Why is setup/strike labor such a large deduction here?
A mid-size frame or pole tent can take a two-to-four-person crew several hours to install and another chunk of time to strike, and that labor cost scales with tent size and site conditions (stakes vs. ballast, uneven ground) — it's routinely 20%-25% of the rental rate, which is why ignoring it overstates margin badly.
How many rentals per season is realistic for one tent?
Popular sizes (20x40, 30x60) in active markets can book 10-20 times across a 5-6 month outdoor event season, while oversized or specialty tents may only move 3-6 times a season, which drastically changes payback timing even at a similar purchase price.
Does weather damage change this math?
It should — the cleaning/repair reserve line should reflect real historical repair spend, not just cleaning. Operators in wind- or storm-prone regions often reserve 8%-12% of rental rate per event for wear and occasional panel/pole replacement.
Should I buy or sub-rent from a wholesaler for occasional large tents?
