About this calculator

Support cost per account divides total support team cost (salaries, tooling, overhead) by the number of active accounts, giving you a per-account cost that should be compared against average revenue per account to check it doesn't quietly eat your gross margin. This matters most for SMB and PLG businesses with a large volume of low-ACV accounts, since support cost doesn't scale down linearly with contract size — a $50/month customer often needs nearly as much support handling as a $500/month customer for the same basic issue, which is why low-ACV segments frequently have the thinnest effective margins despite looking fine on a blended gross margin line. This calculator also breaks out cost by ticket volume so you can see the underlying driver: rising cost per account is either a headcount/efficiency problem (too many agents, or agents taking too long per ticket) or a ticket-volume problem (the product is generating too many support requests, often a symptom of unclear UX or missing self-serve documentation) — and those two problems have completely different fixes.

FAQ

What's a healthy support cost as a share of ARR?

For SMB/self-serve products, keep it under 5-8% of average ARR to protect gross margin; enterprise accounts can absorb more (sometimes 10-15%) because higher ACVs provide more room and often include dedicated support as part of the contract. Above 15-20% for a non-enterprise segment usually signals a cost or efficiency problem.

Is a rising cost per account a headcount or product problem?

Check ticket volume per account first. If tickets per account are climbing, it's usually a product or documentation problem (confusing UX, missing self-serve answers) generating avoidable volume. If tickets are flat but cost per ticket is rising, it's more likely an efficiency or staffing-mix issue within the support team itself.

How do self-serve resources affect this number?

A good help center and in-app guidance typically deflects 20-40% of tickets that would otherwise require an agent, which directly cuts total support cost without cutting headcount. Deflection rate is worth tracking alongside cost per account as the leading indicator of whether your self-serve investment is paying off.

Should I calculate this per plan tier?

Yes if tiers have meaningfully different ACVs — a blended number hides that your lowest tier may be running support costs that exceed a healthy share of its ARR while your top tier looks fine, which matters for both pricing decisions and whether to gate support levels by plan.
