About this calculator

Wedding and event insurance typically comes in two separate parts: liability coverage (protecting you if a guest is injured or property is damaged at the venue, often required by the venue contract) and cancellation/postponement coverage (reimbursing deposits and costs if the event has to be cancelled for a covered reason like vendor bankruptcy, severe weather, or illness). Pricing scales with total event budget for cancellation coverage since that's what's at financial risk, and with guest count and alcohol service for liability coverage since those raise injury risk. This calculator prices both components separately using typical industry rate ranges, and adds a liquor liability surcharge if alcohol is being served, since that's one of the most common add-ons venues require.

What does event cancellation insurance actually cover?

It reimburses non-refundable deposits and costs if the event is cancelled or postponed for a covered reason: severe weather, venue closure, vendor no-shows or bankruptcy, military deployment, or sudden illness of the couple or immediate family. It generally does not cover cold feet or a simple change of mind — the reason must be a specific, listed covered peril.

Why do venues require liability insurance for events?

Venues want to shift the risk of a guest injury or property damage claim away from their own policy and onto the event host's coverage, which is why many contracts mandate proof of a $1M liability policy naming the venue as 'additional insured.' Without it, the venue's own insurer could deny coverage or subrogate against you after paying a claim.

How much does liquor liability coverage typically add?

Usually $50-$150 added to the base liability premium when alcohol is self-served or provided by the host rather than a licensed, insured caterer or bartending service. If you hire a licensed bartending company carrying their own liquor liability policy, you may not need this add-on at all — confirm with the venue and your event insurer.

How far in advance should I buy event insurance?

As soon as you start putting down non-refundable deposits, since cancellation coverage only protects money already at risk from that point forward. Most policies can be bought up until a week or two before the event, but buying early protects your earliest deposits too, which are often the largest (venue and catering).
