About this calculator
Banquet and catering managers price per-person menus against a target food cost percentage and labor allocation, but many underprice by forgetting labor and equipment rental costs that don't scale down for smaller guest counts. This calculator takes food cost per cover, labor hours and wage for the event, equipment/rental cost, and guest count, then returns total cost per cover and the menu price needed to hit a target food-and-labor cost percentage, which is the standard way catering operations set banquet menu pricing.

FAQ
What target cost percentage is normal for banquet pricing?
Banquet and catering operations commonly target 30-38% combined food and labor cost against menu price, somewhat higher than a la carte restaurant food cost alone (28-32%) because banquet pricing also has to absorb service labor, not just kitchen production cost.
Why does cost per cover rise sharply for smaller guest counts?
Labor and equipment costs are largely fixed regardless of whether you're serving 50 or 200 guests, so they get divided across fewer covers at smaller events. This is why most caterers and banquet venues set a minimum guest count or a per-person price premium below a certain threshold, often 75-100 guests.
Should bar and beverage cost be included in this per-cover cost?
Model bar/beverage separately since it's usually priced and controlled differently (per-drink, package, or consumption-based), and blending it into food cost per cover makes it harder to see food cost trends independently. Track them as separate cost centers within the same event.
How do I handle guaranteed minimum guest counts in this math?
Use the guaranteed minimum, not the expected attendee count, since caterers bill and staff to the guarantee. If actual attendance falls below the guarantee, the venue still collects the guaranteed-count revenue, which is exactly why guarantees exist — to protect against exactly this cost-per-cover math.
